Online Stall Booking Software Guide for Exhibitions

Your stalls, your payments and your exhibitors, on one live hall layout instead of a spreadsheet.

Most association exhibitions still begin the same way. The organising committee opens an Excel sheet, marks stalls as “available” or “booked,” and starts answering the same questions of an Exhibitor on WhatsApp and email: Which stalls are left? What will this one cost with GST? Can we hold it for 48 hours? Has the payment come in? That process works until the volume grows. Then double bookings appear, invoices lag, priority disputes start, and the secretariat spends more time reconciling data than running the show.

Many association exhibitions still begin the same way. The organising committee opens an Excel sheet, marks stalls as “available” or “booked,” and starts answering the same questions from exhibitors on WhatsApp and email: Which stalls are left? What will this one cost with GST? Can we hold it for 48 hours? Has the payment come in?

That process works until the volume grows. Then double bookings appear, invoices lag, priority disputes start, and the secretariat spends more time reconciling data than running the show.

A proper stall booking software for exhibitions replaces that friction with a clear, self-service journey for exhibitors and a single source of truth for organisers. This guide explains what association exhibitions in India need from stall booking software in 2026, and how the process works from stall setup to confirmed booking.

What is a Stall Booking Software?

An online stall booking system is software that lets exhibition organizers sell stall space through a live, interactive hall layout.

Organizers set up halls, prices and stall statuses (available, selected, on hold, provisionally blocked or booked) and track bookings, payments and hall-wise counts in real time.

Exhibitors generate an instant cost estimate and download a pro-forma invoice for internal approval, then pay the advance deposit by bank transfer and submit their payment details. Once the association verifies the payment, they receive a priority number and choose an available stall in their allotted time slot. After the stall is confirmed, they can book branding and sponsorship items and submit their stall requirements through the exhibitors’ manual.

Visitors use the same floor plan, integrated into the event website or event mobile app, to view stalls, read exhibitor information and follow step-by-step directions to a stall.

Sponsors benefit from premium stalls that can be reserved in advance and from visibility across the layout, directory and app. n-Gauge’s stall booking software connects all four groups through one live layout, replacing spreadsheets and static PDFs for association-run and trade exhibitions in India.

What does a Stall Booking Software do?

A stall booking software handles the commercial side of an exhibition: the part between “we have a hall” and “the exhibitor has a confirmed, paid stall.”

In practice it does six jobs:

• Shows what is for sale. Before anything can be sold, buyers need to see the inventory. The system turns your hall plan into an interactive layout, hall by hall. Each stall carries its number, size and current status, so an exhibitor can judge the space and its position relative to entrances, aisles and neighbouring stalls. Organizers no longer circulate PDFs that go out of date within days, because the layout everyone sees is the live one. Exhibitors can also switch between halls, search for a stall and look at the space before deciding.

• Records who has taken what.
• Real stall sales involve more than “sold” and “not sold,” so each stall carries one of five statuses, shown in colour. Available stalls are open. Selected shows a stall an exhibitor is currently choosing. On hold marks a stall reserved temporarily. Provisionally blocked marks a stall the organizer has set aside. Booked marks a confirmed stall. Statuses change the moment someone acts, so two exhibitors are not promised the same stall. Hall-wise counts of total, available and booked stalls update alongside, giving organizers a live view of sales without compiling a report.

• Takes the booking. Instead of calling or emailing the organizer to ask whether a stall is free, the exhibitor sees its status on screen and books directly. They select a stall, enter their company details and submit the request through a simple interface. This removes the back-and-forth that usually fills the sales window, such as “is B-14 still available?”, and it gives the exhibitor an immediate answer. For the organizer, every booking arrives in a consistent format in one place, not scattered across inboxes and messaging apps.

• Collects payment and issues the invoice.

Payment is part of the booking flow rather than a separate task afterwards. It starts before the exhibitor commits to anything.
• Instant cost estimate. The exhibitor selects a hall, area, open sides and stall type, and the system generates a full estimate on the spot: per-square-metre charges, taxes, refundable security deposit, total payable and the instalment breakdown. Nobody has to email the organizer to ask what a stall will cost. A downloadable PDF pro-forma invoice lets the exhibitor take the figures to their management for internal approval, which cuts the follow-up calls that usually hold up a booking.
• Fair, priority-based selection. For shows where demand outpaces supply, first-come-first-served creates a rush and disputes. Here, the exhibitor pays an advance deposit and submits payment proof. Once the payment is verified, the system generates a priority number, which sets an exclusive time slot for choosing a stall, with live countdown timers for the deadlines. Because priority depends on when payment is verified rather than who clicks fastest, every exhibitor gets a predictable turn and the organizer can explain any allocation.
• Selection and payment window. In their slot, the exhibitor picks a stall from the live, colour-coded layout and sees a full financial breakdown (charges, security deposit and balance due) before confirming. A strict payment window follows, commonly 48 hours, for the first instalment. If it is missed, the stall returns to the pool for the next exhibitor.
• Payments and invoices. Exhibitors can pay in instalments. They pay using the association’s bank details and submit the payment details through the portal, and the association’s accounts team verifies payment before the stall is confirmed. The system generates a pro-forma invoice immediately, and GST-compliant invoicing supports Indian associations. Both sides see real-time payment status, including amount paid versus balance due. Because every payment is tied to a stall, the record of who paid for what stays clear.

• Helps visitors find exhibitors. The same layout, integrated into the exhibition website or mobile app, lets visitors view stalls, read exhibitor information and follow route directions to a stall.

• Feeds everything downstream. A booking is the start of the exhibitor relationship, not the end. Once a stall is booked, the exhibitor’s details are already in the system, so they do not need to be re-entered elsewhere. The booking list becomes the source for the exhibitor directory, the exhibitor portal, the exhibition website and the event app. Exhibitors can then submit their stall requirements, such as tables, chairs, electricity points and water, through the exhibitors’ manual. Everything stays connected to the same record, which keeps information consistent from sales through to show day.

Stall booking system vs. floor plan software: not the same thing

These two terms get used as if they were interchangeable. They are not, and the difference affects what you buy.

Floor plan software draws the venue. It answers: where is everything?

A stall booking software sells and runs the venue. It answers: what is still available, what will it cost, who gets to choose first, who has paid, and what do they need on the day?

A drawing tool can produce a beautiful hall layout and still leave you working out costs by email, allotting stalls by first-come-first-served and reconciling payments in Excel. A booking system treats the layout as the storefront for your inventory, and then connects that inventory to pricing, fair allotment, payments, invoicing and visitor navigation.

How the two compare for each person involved

Where each approach fits

Which do you need?

A layout or diagramming tool is enough if you only need to design and share a plan, for example for a small event with a handful of stalls and no online sales.

A stall booking system is the better fit if you sell stalls online, run more than one hall, face more demand than stalls, collect payments in instalments, hold stalls or branding items for sponsors, or want exhibitors and visitors to use the same live layout through your event website or mobile app

How does online stall booking work?

Here is the flow, step by step, as an organizer and an exhibitor would experience it.

Step 1: Build each stall from the hall layout plan

For every stall, the vendor team that is n-Gauge creates an entry from the hall layout plan and defines it once:

• Stall number or name, as shown on the hall layout.

• Open sides. The organizer chooses how many sides are open (for example two or three) and which ones (left, right, top or bottom). Stalls with more open sides are often priced and valued differently, so this is captured up front.

• Height and width. The vendor enters the stall’s height and width as shown on the hall layout plan, so the system matches the venue drawing. The total area is then calculated automatically (for example, 6 m × 4 m becomes 24 sq m), so nobody has to work it out by hand.

• Scheme. Bare space or shell scheme, set to each association’s own rules.

• Category. For example gold, silver, premium, premium plus or general, depending on how the association classifies its stalls.

• Block option. A stall already sold offline can be blocked with a single tick, so it cannot be booked from the exhibitor-facing layout.

Step 2: Set pricing by category

Pricing comes from the association exhibition. The organizer supplies the rate per square metre for each category, and the system calculates each stall’s price from its area and category.

For example, a 24 sq m gold stall at ₹1,200 per sq m comes to ₹28,800, while the same area at a silver rate of ₹1,000 per sq m comes to ₹24,000. GST and any registration fee are then added, as decided by the exhibition. (These figures are illustrative.)

Step 3: Exhibitors register and explore

Exhibitors register on the booking portal, then explore the live, colour-coded layout hall by hall. They can search for a stall and view the hall. Clicking a stall shows its category, open sides, area and price before they commit to anything.

Step 4: See the full breakdown and choose how to book

On clicking a stall, the exhibitor sees the complete financial picture: the estimate, taxes, deposit required and balance. A downloadable pro-forma invoice supports internal approvals. Depending on how the association runs the show, the exhibitor then books in one of two ways:

• Priority-based booking. The exhibitor pays an advance deposit and submits payment details. After the association verifies it, they receive a priority number that fixes an exclusive time slot for choosing a stall, with a strict payment window (commonly 48 hours) for the first instalment.

• Provisional booking. The exhibitor books a stall without paying immediately. The system generates a pro-forma invoice and a priority number, and holds the stall for a set number of days (for example 10 or 15). If payment is not completed within that period, the stall is released for other exhibitors.

Step 5: Pay and submit payment details

n-Gauge’s Stall Booking Software deliberately does not use a payment gateway. The exhibitor is shown the association’s bank details and payment instructions, pays by NEFT, RTGS, cheque or another offline method, and submits the payment details through the portal. This keeps the process simple and avoids the disputes that arise when an exhibitor says they have paid and the organizer cannot see it.

Step 6: The association verifies the payment

The submitted details reach the backend. The accounts team cross-checks them against the association’s account and approves the payment. Until that approval, the stall is not booked. Both sides see the payment status, so the exhibitor knows where they stand and the organizer has a verified record.

Step 7: The stall is confirmed and shown on the layout

Once approved, the stall changes to booked for everyone. On the exhibitor-facing layout, hovering over the stall shows the exhibitor’s company name. The organizer’s live counts of available and booked stalls update at the same time.

Step 8: Branding and sponsorship

Once an exhibitor has chosen a stall in their allotted slot, they can go on to book branding and sponsorship opportunities through the same portal. Organizers set the opening date, and the options are available only to exhibitors who have already selected a stall.

What exhibitors can bookThe organizer builds a catalogue, with a price against each item. A typical show offers:

• Event sponsorships, in tiers (for example principal, associate or other levels the organizer defines).

• Exhibition sponsorships, for items that reach every visitor, such as lanyards and badges, registration areas, visitor bags, parking and exhibitors’ evenings.

• Road show sponsorships, for a single city, a group of cities or the full series, where the show runs pre-event road shows.

• Buyer-seller meet sponsorships, covering lounges, meals, buyer kits, registration desks and meeting cubicle branding, for both in-person and digital meets.

• Conference sponsorships, in tiers such as platinum, diamond, gold and silver, where the show includes a conference.

• On-site branding, listed by location: entrance hoardings, front and back wall branding, pathway cubes, fascia and glass walls, foyers, hall-entrance buntings, lift and skybridge branding, and hall frontages.

• Amenities and extras, such as food courts, cafeterias, the official show guide, charging stations, shuttle branding, golf carts and water stations.

Step 9: Exhibitor information flows onward

The booked exhibitor’s details feed the exhibitor portal, the exhibitor directory on the website and mobile app, and the exhibitors’ manual for stall requirements.

Why organizers choose n-Gauge for stall booking system

Stall booking decides how smoothly an exhibition sells, so the system behind it matters as much as the layout. n-Gauge was built for this. It serves association-run and trade exhibitions in India, and every step described above is part of one connected flow.

Proven across editions, not one show. We have supported ELECRAMA across four editions (2014, 2016, 2020, 2023 onwards, along with PLASTIVISION, PLASTINDIA, PRINTPACK, IEEMA Distribulec Buildlec, ACREX and ECAMEX, where we delivered online and onsite exhibition technology in 15 days. Returning to the same shows edition after edition is the best evidence that the process works.

One team across the exhibition. Stall booking, exhibitors’ manual, exhibitor portal, visitor registration, website, B2B meetings and mobile app come from one provider, with onsite trained staff support during the show.
